We do not allow for consent/contacts to be withdrawn from the above because these are legally binding agreements. We also call on this information when there is a dispute.


When do we share personal data?

We will only share your information with one organization. The organization we may share your details with is the RSPCA. This will only be done if there is a case of animal neglect or abuse.


This statement is agreed to in our “Transfer of ownership agreement” and we keep this file for life.


Apart from the above mentioned your data will never be shared with any third parties.


Where do we store and process personal data?

We hold your data in the most secure ways, information of these methods is below;


· Personal Information – This is done via face to face, over the phone, contact forms, questionnaires, forms and signups.

o EPOS NOW - and 

§ EPOS NOW holds our client’s personal data such as names, addresses, numbers and email addresses.

o Zoho Campaigns - and 

§ Zoho Campaigns holds client’s names and email addresses.

o Zoho Support - and 

§ Zoho Support holds client’s personal data such as names, addresses, numbers and email addresses.

o Shelter Manager -

§ Contains client adoption and rescue data.

· Financial Data – This is done face to face.

o Zoho Invoices - and 

§ Zoho Invoices holds client’s personal data such as names, address, numbers, email address, signed contracts and other documents relating to a client’s account.

o Paypal -

§ Paypal holds transaction data.

o Stripe - 

§ Stripe holds card details, address and email address for clients paying via our invoicing system.

o GoCardless - 

§ Gocardless holds data about your bank account in order to pay via direct debt.



How do we secure personal data?

All client data is stored on secure servers located at secure sites. All data controllers we use are GDPR compliant. We research all companies we use to house our client’s data.

All our staff are fully trained in GDPR and DPA Compliance. Only trained members of staff have access to personal information.


How long do we keep your personal data for?

For security and training purposes we do not destroy the following data. This is due to most of our data being agreements and consents;

· Adoption Agreements

· Rescue information collected at time of rescue

· Adoption information collected at time of adoption.


Applications for the following will be deleted in 6 Years from date of creation;

· Complaints Form

· Party Form

· Groups Form

· Contact Us Form

· Party Evaluation

· Event Evaluation


Your rights in relation to personal data

You have the right to see information contained in personal data we hold about you. If you would like to receive some or all of your personal information (called a Subject Access Request), please contact the Data Protection Team

The Liverpool Reptile Rescue C.I.C is not listed and thus has no formal obligations under the FoIA. However, we support transparency and will supply information where possible.
